Overview

Our client aimed to deliver a hybrid lecture event in the morning, followed by practical demonstrations in a wet lab during the afternoon. Surgeons provided assistance both on-site and remotely. The UK acted as the global hub, with satellite centres in Argentina and Egypt joining via Zoom Webinar.

To achieve this, the surgical setup required high-quality operative visuals, including a roving manned camera, head-mounted cameras on the surgeons, an overhead robotic rig, and additional video sources. All feeds needed to be displayed simultaneously on a large screen, allowing the surgeons to direct proceedings and communicate effectively with remote participants.

Approach

It took several weeks of scheduling to test all global centres ahead of the event. These preparations went smoothly, as we coordinated closely with venue teams to plan dual-area setups for both the lecture hall and the wet lab.

To streamline deployment, we used a newly developed mobile rack system designed in-house. This enabled rapid setup for the morning lecture session, which featured a branded picture-in-picture format combining slides, presenter footage, and video clips. Remote Q&A was captured live and moderated for seamless interaction.

The Zoom Webinar ran across both spaces for the entire day, with host control handed over in the afternoon to maintain a single continuous session link. Our team provided unrestricted close-up visuals, which were displayed on a 72” screen at the master table for the trainer’s view. Selected video sources were then projected across the rooms.

Despite space limitations for video, broadcast, and PA equipment, our custom-designed kits were compact enough to fit without disrupting the venue or medical teams.

Results

Our compact setup in the wet lab was ready to go when the agenda unexpectedly changed. Despite the limited space, we ensured our presence didn’t obstruct the surgeons, allowing them to work freely and without interruption.

The online broadcast ran on time and was delivered with exceptional clarity. To avoid any connectivity issues, we arranged hard-wired internet in both locations, reducing reliance on wi-fi and ensuring a stable stream.

As this was the client’s first event of this nature, they were particularly pleased with the quality and detail of the operative visuals. All footage was recorded in 4K for future editing and integration into their CPD training courses, allowing for a wide range of reuse. Our video editing services are expected to be used for post-production going forward.

Conclusion

Our client’s expectations were exceeded, and the success of this project has laid the groundwork for future events of a similar nature. The use of overhead, roving, and head-mounted camera systems provided exceptional views for both in-person participants and remote viewers.

We have a well-established process for delivering didactic hybrid events, and this was clearly valued by audiences in all locations. The combination of high production standards and thoughtful technical execution ensured an optimal experience for both local and international attendees.

Post-event discussions with surgeons and support staff confirmed that even remote participants felt they gained more from the day than if they had attended in person at a single site. The webinar offering evolved well beyond the client’s original expectations—delivering greater value and reach than initially anticipated.
